Directions for Scheduling/Canceling Appointments
Appointment Reminders:

Students should schedule appointments in advance using the TutorTrac system to guarantee an appointment. If anyone has difficulties logging in to the TutorTrac system, call 256-765-4722.

Students are welcome to walk in to the writing center for appointments when available.

If for any reason students are unable to keep their scheduled appointments, then students should cancel their appointments 24 hours in advance. Students may reschedule at their convenience.

Note: If students consistently forget to cancel appointments that have been scheduled in advance, students may be blocked from scheduling appointments in advance for the rest of their college career at UNA. Students will then rely on walk-in appointments or calling the University Success Center to schedule an appointment.

Online appointments can be conducted by TutorTrac whiteboard (live chat room) or through Microsoft Teams (video).
- Students should not schedule back-to-back appointments or more than one appointment per day unless authorized by the Director of the writing center.
- Only one paper can be reviewed during one writing consultation.
Scheduling Appointments in TutorTrac:
- To schedule writing consultations, go to and log in using your UNA Portal username and password. (For example, the username will be your first and/or middle initial and last name and possibly a number: jasmith12. The password will be the same password used for logging in to Canvas and Portal.)
- After logging in to TutorTrac, find the blue box- "Search Availability."
- Choose the "Center" (Center for Writing Excellence) and the "Section" (the course connected to the paper assignment).
- To schedule an online appointment, under "Reason" select "Online Tutoring" and under "Location" select "Online Consultation."
- To schedule a face-to-face appointment, under "Reason" select "face-to-face tutoring" and under "Location" select "Collier Library-2nd Floor."
- Press the "Search" button.
- Next, select a green box for the time and day of the appointment, and click on the box you choose.
- When the pop-up window appears, locate the down arrow and choose the number of students who will attend the session (only 1 if a TutorTrac session is chosen; more than 1 may be selected if a face-to-face appointment or an online Microsoft Teams session is chosen).
- Next, locate the "Notes" section. If your session will be through Microsoft Teams, write " Teams." In this same section, students may also write their topic(s) of discussion for the writing assignment.
- Finally, scroll down a little until the word "Save" appears and click "Save."
If Students Choose to Use Microsoft Teams:
- On the day of the online appointment, students should check their UNA Portal email for a URL link to connect to the Teams meeting, sent by the writing consultant (tutor). Students will then click on this link to open it and begin the video conference
- Students should have their document visible on the computer so that they can "share" their document with the writing consultant.
- A writing consultant will log in to Teams and the writing consultation will begin.
**If you choose to use Microsoft Teams, you must have a working microphone and webcam.
Canceling Appointments in TutorTrac:
- Log in to tutortrac.una.edu with UNA username and password.
- When the Main Menu page opens, look for the words “Upcoming Appointments.”
- At the end of the appointment time and date, there will be a black circle with a white “x.”
- Click the circle with the “x.”
- When a pop-up window opens, type in the reason for cancellation and click “Confirm Cancellation.”
- If you do not receive a confirmation cancellation email, something did not save correctly.
- You can go back online and attempt to cancel again.
- You can call 256-765-4722 during business hours (8 a.m. - 4 p.m. Monday through Friday) to cancel over the phone.
- Please cancel appointments you no longer need at least 24 hours in advance to allow for another student to schedule that appointment time.
